Position Title: Guest Services Representative

Employment Dates: May 4, 2026 to August 28, 2026 (18 weeks)

Hours of Work: 28-35 hours per week

Rate of Pay: $17.60 per hour + Vacation as determined by HR policy

Job Description:

Guest Service Representatives are responsible for providing front-line customer services for guests and students staying in our residences and for supporting our ongoing operations throughout the summer. Guest Service Representatives will provide quality customer service from check-in through to check-out. The Guest Service Representative will be trained to follow appropriate administrative procedures, including verifying accommodation registration and payment information; properly handle financial transactions; responding to general inquiries from guests and students; assisting in maintaining a clean, welcoming, and safe environment; and communicating effectively with internal and external departments and supervisors.

Duties Include:

  • Respond to inquiries regarding accommodation services, rates, facilities, and travel directions
  • Assist with guest check-ins and check-outs in a professional and timely manner
  • Accept and confirm room reservation bookings and payments via phone, email, and in person
  • Collaborate with housekeeping, maintenance, and other university departments to meet guest needs and complete assigned tasks
  • Assist with preparations for individual guest, student, and conference group reservations, including accepting and confirming registrations for short-term and long-term accommodation, preparing rooming lists, keys, and related materials
  • Balance, organize, and prepare daily cash and credit transactions to ensure accurate financial reconciliation
  • Balance and maintain cash floats
  • Maintain accurate records and accounting of room inventory
  • Maintain accurate key auditing records
  • Communicate emergency procedures and security information to guests
  • Provide tourist information and general information about North Bay to guests and visitors
  • Foster a positive, friendly, safe, and inclusive environment at the front desk
  • Resolve guest service issues and complaints by providing timely and appropriate solutions, including follow-up as required
  • Perform general office and clerical duties as required
  • Complete cleaning and housekeeping tasks as needed, including laundry, suite preparation, sanitization, sweeping, mopping, dusting, and garbage disposal
  • Report damages and maintenance concerns using established procedures
  • Work collaboratively as a supportive member of the Summer Accommodations team
  • Attend and complete all required training sessions and workshops as directed by supervisors and the University
  • Perform other related duties as assigned

Minimum Qualifications:

  • Availability to work flexible hours and rotating shifts, including weekends and statutory holidays (e.g., Victoria Day, Canada Day, Civic Holiday)
  • Familiarity with standard computer applications and social media platforms
  • Strong verbal and written communication skills, with the ability to communicate clearly and professionally
  • Demonstrated responsibility, reliability, and punctuality
  • Strong organizational skills, attention to detail, initiative, and the ability to work independently
  • Comfortable handling cash, debit, and credit card transactions
  • Ability to operate basic office equipment, including printers, photocopiers, and point-of-sale systems
  • Knowledge of the University, the City of North Bay, and surrounding areas is considered an asset
  • Ability to safely lift and move equipment weighing up to 25 kg
  • Due to the scheduling requirements of this role, applicants who are enrolled in spring, evening, or summer person or scheduled continuing education courses, or who are employed elsewhere with competing schedule commitments, may not be considered equally due to the availability requirements of this position (online courses may be acceptable provided they do not interfere with scheduled shifts)
  • Ability to provide proof of a “negative” Criminal Record with Vulnerable Sector Check
