HOURS OF WORK:                           Average 10 hours per week

RATE OF PAY:                                    $14.00/hour plus Vacation Pay

 

JOB DESCRIPTION:

The Guest Service Representative will assist with providing services for guests inquiring about or staying in our accommodations throughout the academic year and upcoming summer. The Guest Service Representative will provide quality customer service and we will be trained to follow appropriate organizational procedures, including verifying guest’s registration information, responding to general inquiries from guests/clients, assisting in maintaining a clean, welcoming and safe environment and communicating effectively with internal and external departments and supervisors.

 

DUTIES INCLUDE:

This position will assist with the following:

  • Handling guest check-ins and check-outs appropriately when needed
  • Taking reservations over the telephone, through emails and in person
  • Answering queries regarding the residence services, charges, facilities, and travel directions
  • Providing tourist information and general North Bay information to visitors and guests
  • Housekeeping, maintenance and other university departments to fulfill guests needs and complete assigned tasks
  • Resolving service issues and guest complaints by providing appropriate timely solutions and following up to ensure resolution
  • Explaining appropriate emergency and security information to guests
  • Accepting room registration and individual payments as required at the front desk via phone, email and/or in person
  • Accurate accounting of all rooms
  • Recruiting, accepting and confirming conference registrations
  • Accepting and confirming casual short term/long term applications
  • Balancing cash and credit payments received
  • Preparing and balancing deposits, reconcile accounts, balance and maintain floats
  • Assisting with conference group preparations such as keys, rooming lists etc.
  • Performing general office and clerical duties
  • Providing room setups as required by conference clients in the residence buildings
  • Performing a variety of cleaning and housekeeping duties as assigned; such as sweeping, mopping, dusting, dressing suites, etc.
  • Other related duties as required

 

MINIMUM QUALIFICATIONS:

  • Must apply and be approved for the NUWORK Program
  • Efficient computer skills in Microsoft office and Google suite
  • Comfortable dealing with cash, debit and credit card payments
  • Ability to work with basic office equipment (fax, photocopier, printers, point of sale machines)
  • Knowledge of the University and the City of North Bay and surrounding areas considered asset
  • Must be able to lift awkward equipment weighing up to 25 kilograms
  • Must provide a copy of a current negative Criminal Reference Check at time of hiring
