General Information

 

STUDENT HIRING INFORMATION

Once you have selected a candidate for your student position, you must complete a "Request To Hire A Student" form, which is located on the Human Resources website at the following link.  

Once the request is submitted, Human Resources will email the student employee (copying the supervisor) providing them with the forms that are required to be completed PRIOR to beginning work.  If you are hiring NUWork positions, please ensure the student has applied and been approved for NUWork funding through the Finance Office (September through April).

All completed forms (including training verification forms) must be submitted to Human Resources by email to hrinfo@nipissingu.ca or by inter-office mail.   

Effective May 1, 2018, timesheets will be submitted electronically through our Web Time Entry System.  Paper timesheets will no longer be available or be able to be submitted after May 1, 2018.  Details on how to use the Web Time Entry System will be emailed to the student once we have received all required paperwork.

All student wages are $14.00 plus vacation pay with the exception of Research Assistant positions.  If a Research Assistant is being hired, Dan St. George (ext. 4644) from the Office of Graduate Studies and Research must approve the rate of pay.  

Please ensure you have budget approval for all student positions.

Students MAY NOT work for more than an average of 10 hours per week for all positions within the University from September to April.

A student should not hold more than one position at a time (Note taking, Proctoring and Peer Tutoring are exceptions).

Please note ESA rules dictate one half-hour unpaid break must be taken when the shift is longer than 5 hours. Be sure to indicate that the break was taken on the timesheets.

TRAINING

It is the responsibility of the supervisor to ensure that each student employee has the required training as follows:

Environmental Health and Safety Training is mandatory for every employee.  Each employee must complete the training module. At the end of the training a certificate will be issued, this must be printed and forwarded to Human Resources along with the employee’s first time sheet.  Please be advised that this training only needs to be taken once during their employment at Nipissing University.

AODA (Customer Service Standard) Training is mandatory for every employee. Each employee must complete the training module and complete the Acknowledgement form after the training is done. The Acknowledgement form must be printed and forwarded to Human Resources along with the employee’s first time sheet. Again, please be advised that this training only needs to be taken once during theiremployment at Nipissing University.

Workplace Harassment Training is mandatory for every employee.  Each employee must complete the training module. At the end of the training a certificate will be issued, this must be printed and forwarded to Human Resources along with the employee’s first time sheet.  Please be advised that this training only needs to be taken once during their employment at Nipissing University.​

If the student employee is working in a lab it is your responsibility as a supervisor to ensure that the employee receives the required lab safety and/or WHMIS training. Please contact Stacie Thomson at staciet@nipissingu.ca or ext. 4898 to coordinate this training.

Criminal Record Check and/or Vulnerable Sector Screening is mandatory if the student you are employing will be working with children or are working in Facilities, Residence or Athletics.  The Criminal Record Check and/or a Vulnerable Sector Screening will be required before the student can begin their position. Please contact Human Resources at ext. 4253 regarding these requirements.
