Nipissing University recognizes the power of employee participation. Employees' suggestions are important. Employees are in an excellent position to see where opportunities to save money, improve organizational culture, notice where duplication and/or waste exist. The staff of the University is the best resource for suggesting ways to do things better. With such help, Nipissing can become more efficient and effective.

Purpose

The purpose of the Employee Suggestion Program is to generate worthwhile suggestions for reducing costs, saving jobs, saving energy, saving resources, saving time, improving service to students, increasing safety and improving the quality of the work life. An Employee Suggestion Program Committee has been formed and has representation from all employee groups - Faculty, Executive Administration, Administration and Support Staff.

Why the program?

The Employee Suggestion Program provides an avenue whereby an employee can freely submit your ideas to administration for consideration. Employees are in the best position to suggest ways to enhance services and to reduce costs in the daily operation of the University.

The Employee Suggestion Program recognizes individual creativity, initiative and ingenuity by rewarding adopted suggestions. It is educational and challenging to put together a suggestion. It is also a great feeling to be recognized by fellow employees and administration for a job well done.

Who is eligible?

All employees are eligible to submit suggestions. All suggestions will receive an acknowledgment letter and, if adopted, an award will be given (see potential awards).

What is an eligible suggestion?

A positive and complete written suggestion on the prescribed form (attached) that improves the organization either monetarily or administratively. The suggestion must:

1. be submitted on the proper suggestion form;

2. identify a specific problem or deficiency along with a solution. Merely submitting a problem without presenting a concrete solution does not qualify as an eligible suggestion.

Submitting your suggestions

After completing a suggestion form, it should be placed in the employee suggestion box. Suggestion forms will be available in each department and also in the new employee lounge. The suggestion box is located in the employee lounge. If desired, suggestions may be submitted through or with your supervisor. However, it is not necessary to submit a suggestion through or with your supervisor. Employees may submit as many suggestions as desired. Submissions may also be made with another employee or with other employees.

The Suggestion Committee, upon receipt, will acknowledge the suggestion via a letter. All suggestions will be reviewed by the Suggestion Committee. The Suggestion Committee will route the suggestion to the appropriate department or individual, for review (feasibility) and input. After review by the appropriate department or individual the suggestion will be returned to the Suggestion Committee. The Suggestion Committee will in turn, notify the suggester(s) of the outcome of the suggestions. All suggestions will be given a reply. If a suggestion is not adopted, the employee will still be advised in writing from the committee with an explanation of why it was not adopted.

Awards

Awards will be given for all adopted suggestions.

Examples of potential awards

  1. Paid time off from work (one or two days) - Monday or Friday or an extension of one's holidays);
  2. Dinner for four at Churchill's Restaurant;
  3. $100.00 scholarship in your name;
  4. Gift certificate ($100);
  5. $200 scholarship in your name;
  6. Dinner for four in the Canadore Room.
