It is the responsibility of the Office of the Registrar to allocate facilities to accommodate delivery of regular Faculty of Arts and Science and Faculty of Education classes. All other bookings must be channeled through the Assistant to the Vice-President, Finance and Administration. Any request interfering, in any way, with the delivery of such classes will not be entertained.

Facilities are not to be used without prior approval from the Room Scheduling Clerk in the Registrar's Office. Nipissing will not book any of the shared facilities without first communicating with the Education Centre Security Office to verify availability of the facility requested.

Outside of regular classes, University sponsored groups, including groups sponsored by recognized student organizations, faculty and staff on University business, along with other education groups (i.e. Ministry of Education, etc.) shall have use of facilities without charge. Normally, requests from all other outside groups will not be considered.

Verbal telephone requests will be accepted for bookings scheduled between 8:30 a.m. and 4:30 p.m., Monday to Friday only. Any request to use facilities outside of these informal operating hours must be submitted to the Registrar's Office no later than 1:00 p.m. of the day requested, or no later than 1:00 p.m. on the Friday prior to the weekend requested.

It is the responsibility of the individual making a request to contact the appropriate department should there be any special requirement (i.e. Physical Resources requests should be made in writing to the Office of the Vice-President, Finance and Administration). Note that these departments may require more lead time. The room booking only guarantees the room in its normal state and it is expected that the room will be returned to its normal state immediately following the booking.

Use of University Laboratories by Outside Persons/Groups

1. All requests for use of facilities by outside persons or groups shall be directed to the Office of the Vice-President, Finance and Administration.

2. Use of laboratory facilities will not be permitted during the regular academic year if, in the opinion of the Dean and faculty in the area, outside use would interfere with teaching programs.

3. The use of laboratories by outside persons or groups is prohibited unless sponsored by a faculty member.

4. An outside group using laboratory facilities will be required to pay for a Nipissing Technician/Technologist to supervise lab use. If a qualified technician/technologist is not available, the request will be denied.

5. A profit-making group will be required to pay full predetermined rates for the use of University equipment and the cost of a technician or technologist.

6. The user will be required, before being allowed to use the facilities, to provide a signed insurance policy with sufficient liability coverage satisfactory to Nipissing University and to sign a liability and damage waiver.
